Group Tours Status and Actions in Customer Care

Overview

Group Tours can have one of three statuses: On Sale, Closed or Cancelled.

The status is related to the different Departure Dates. The following table provides a summary of each:

The default status when a new group tour departure date is created.

New itineraries, itineraries in planning or checkout can be booked considering allotments are available.

Closed

Not on sale (closed)

Status can only be changed manually.

New itineraries, itineraries in planning or checkout cannot be booked.

Cancelled

Not on sale (cancelled)

Status can only be changed manually.

New itineraries, itineraries in planning or checkout cannot be booked.

Remark:

Already booked itineraries won’t be cancelled unless the user does it manually for each one.

Group Tours Status and Actions in Customer Care

On the Group Tours overview page in Customer Care, you can see a list of all available Group Tours with the associated Departure Date, PAX booked, and the number of Total Booking, alongside the status.

Clicking on the title of any Group Tour, you're directed to the Overview Page of that Group Tour:

Here, you can find quick information, like the Status, Travel Dates, Group Size and associated Pricing.

On this page, you can change the Group Tour Status. Click the Action button in the top right corner, and you can see the possible actions to modify the Status:

You can also change the Status by clicking the Action button on each table entry on the Group Tours list page:

Note: One of the statuses will always be greyed out, representing the Group Tour's selected status.

Status: On-Sale (Open)

This is the default status when creating a new Group Tour departure date.

With this Status, the Departure Date is available to be selected on the Planner, and new itineraries, itineraries in planning or checkout can be booked if there are available allotments:

From this Status, you can change it to Closed or Cancelled.

Status: Closed

Clicking on Stop Sales will change the status of a Group Tour to Closed. When selecting to stop sales on a Group Tour, you'll be asked to confirm your selection:

You'll see that the Group Tour now has the Status of Closed:

With a Closed Group Tour:

The departure date you closed isn't on sale anymore.

If you try to book it in the planner, you can see that this date isn't available anymore, and it states in the UI that it is Fully Booked. In the example, we see a Closed Group Tour departing on 22/01. In the Planner, this date is no longer available:

Itineraries in planning or checkout cannot be booked.

Since the date is not selectable, no new itineraries can be created.

If an itinerary was in the checkout, it cannot be completed if the Group Tour date is Closed:

If the itinerary status was In Planning, if/when the user tries to continue to the Checkout, a notification pops up informing the user that this date is no longer available:

Status can only be changed manually.

You can change between Closed and On Sale (Stop Sales and Re-open Sales) if, for example, you see a new opportunity to sell an already closed Group Tour or if it closed by mistake.

A Closed Group Tour can also be cancelled.

Status: Cancelled

Clicking on Cancel Group Tour changes the status of a Group Tour to Cancelled. When selecting to cancel a Group Tour, you'll be asked to confirm your selection:

Important:

This action is irreversible. When a Group tour is cancelled, you can’t revert this Status.

The Status is updated:

With a Cancelled Group Tour:

The departure date you cancelled isn't on sale anymore.

If you try to book it in the planner, you can see that this date isn't available anymore, and it states in the UI that it is Fully Booked. In the example, we see a Cancelled Group Tour departing on 23/01. In the Planner, this date is no longer available:

Itineraries in planning or checkout cannot be booked.

Since the date isn't selectable, no new itineraries can be created.

If an itinerary was in the checkout, it cannot be completed if the Group Tour date is Cancelled:

If the itinerary status was In Planning, if/when the user tries to continue to the Checkout, a notification pops up informing the user that this date is no longer available:

Important:

Already booked itineraries in the Cancelled Group Tour won’t be cancelled unless the user does it manually for each one.

To cancel the itineraries associated with a Group Tour, go to Itineraries for a specific departure date and click on the title of the itinerary:

You're directed to the Itinerary Overview page, where you can Cancel Booking via the Actions button:
